From GHL to Ai: A Migration Guide

Migrating off GoHighLevel feels daunting, but in practice it is straightforward. We have moved multiple businesses off GHL and onto the Ai Engine, and the process typically takes less than a day for the technical migration and about a week for team training.

Step 1: Export Your Data

GHL allows you to export contacts as CSV files. Go to Contacts, select all, and export. You will get a file with names, emails, phone numbers, tags, and custom fields. If you have pipeline data, export that separately from the Opportunities section.

For email templates, you will need to manually copy the HTML or recreate them. GHL does not provide a bulk template export. Screenshots of your existing templates help during the rebuild.

Step 2: Prepare Your Engine Tenant

Once your Ai Engine tenant is provisioned, configure your modules. Set up your pipeline stages to match your existing sales process. Create your custom fields in the CRM to match the data you are importing. Configure your email domain through AstroMail.

Step 3: Import Contacts

The Engine accepts CSV imports with field mapping. Upload your exported contacts, map the columns to Engine fields, and run the import. We have imported databases as large as 50,000 contacts in under two minutes. Tags, custom fields, and pipeline assignments are all preserved.

Step 4: Rebuild Automations

This is the most time-consuming step, but also the most rewarding. GHL automations are often brittle and hard to debug. The Engine workflow builder uses a trigger-action model with conditional branching, delays, and multi-step sequences. Most GHL automations can be rebuilt in a fraction of the time, and they are more reliable.

Step 5: Redirect and Go Live

Update your website forms to point to Engine form endpoints. Update your DNS records for email. Set up call forwarding if you are migrating phone numbers. Run both systems in parallel for a week to catch any gaps, then cut over completely.

After migration, you own your data, your email deliverability improves, your automations are more reliable, and you have access to AI-powered tools that GHL simply does not offer. The monthly cost is typically lower, and the experience is significantly better.
